Meeting called to order at approximately 7:09 p.m.
Present: Mike Crowley, Agent; Pat Swart, Paul Drda, Peter Disher, and Deanne Drda, Board Members; John Peters, owner; Absent: Dennis Severson
- Guest concerns: Advanced meeting notices are not consistently posted by the mailbox. We need to post the meeting dates for the rest of the year.
- Approved March meeting minutes as written and April minutes as amended.
- Reviewed financial statements and payables. Paul Drda, treasurer, signed checks.
- Due to increased utility costs this year, we are $25,000 over budget in gas costs and need to assess a special monthly charge for July, August and September to recoup the cost. The assessment will be $29.08 for each one bedroom and $41.39 for each two bedroom. Mike will send a letter as soon as possible to give advanced notice to all owners.
- Most likely there will have to be another similar assessment next year. This will be discussed at the October meeting.
- We may need to do some boiler upgrades in the future. If so, we may want to consider leasing the new equipment.
- There have been numerous complaints lately regarding noisy and inconsiderate behavior by some tenants. The Association is very limited in what we can do. (our only authority is the governing documents, which don't address many of these situation) Owners/tenants in this situation need to make a police report and work with the police to resolve the problem. If personal property is damaged, the owner/tenant needs to coordinate repair and recovery of expenses through their insurance company.
- Cost of using the laundry facility has been the same since 1986. Rising utility costs dictate increasing the cost for a washing machine from $0.75 to $1.00 and the cost for a dryer from $0.75 to $1.00. Automatic Laundry Company will implement the change in the next few weeks and will post notices. Mike will remind Automatic Laundry that they need to clean out the dryer vents.
- We signed a letter from AT&T authorizing the installation of their broadband communications equipment at Seven Springs. There is no cost to the association, only to individual owners who choose to use AT&T Broadband's service.
- We approved letter to World Savings regarding authorized signatures.
- We reviewed a letter from a tenant who claimed his unit was damaged by common element equipment. Mike will refer the owner to his own insurance company. If necessary, his insurance may contact the Association's insurance company. The tenant's insurance company should be contacted regarding damage to the tenant's property.
- New Business:
- Miscellaneous maintenance issues were discussed with Mike.
- The Rules and Regulations have been compiled into one document and will be distributed with the next newsletter. Only minor modification/clarifications were made. The Rules for renting the Club House were also rewritten.
- Violations for illegal barbecue grills will be posted immediately.
- There are no known dogs on the property at this time.
- Bids are currently out for painting interior hallways, striping the parking lots and adding retaining walls.
- Deanne is to obtain an updated CADD printout.
- Paul's compiling the Pet Survey but need the numbers from the hotline.
- We're considering a new agency for credit collections. A few board members will try to visit their office for an evaluation of their services.
- The bids to rewrite our governing documents are cost prohibitive. (Would a Law School consider the job??)
- The next meeting will be 6-21-01.
- The board went into an Executive Session to discuss delinquent accounts.
